Privacy Policy

This Privacy Policy describes how 1Dynamics Pty Ltd ("1Dynamics," "we," "us," or "our") handles information in connection with the 1Dynamics Sales App (the "App"), a sales workspace application available through the Microsoft AppSource marketplace.

1. Scope

This policy applies specifically to the 1Dynamics Sales App. It does not cover other 1Dynamics products or general company website browsing, which are addressed in our separate Terms of Use. Access to the App is provided via the Microsoft AppSource marketplace. Microsoft's data handling practices for marketplace infrastructure are governed by Microsoft's own privacy statement, available at privacy.microsoft.com.

2. Information the App Interacts With

The App is designed to operate within your organisation's existing ERP or sales portal environment. In the course of providing its functionality, the App may access or display business data already held in that environment, including:

• Customer and account records (names, contact details, addresses)
• Quotes, Pro Formas, sales orders, invoices, and related commercial data
• Product and pricing information
• User account information needed for sign-in and role-based access (name, work email, assigned role/workspace)

During a free trial, this information may be temporarily processed and stored on systems operated by 1Dynamics for the purpose of provisioning and evaluating the trial. Once you convert to a paid subscription, 1Dynamics no longer stores this information on its own systems — all data resides solely within your organisation's ERP/portal environment.

3. How Information Is Used

Information accessed or, during a trial, stored by the App is used solely to provide the App's functionality and to support your evaluation of the App — displaying sales activity, routing approvals, generating dashboards, and supporting the quote-to-cash workflow described in the App's listing. We do not use this information for advertising purposes or sell it to third parties.

4. Where Information Is Stored

During a free trial: information described in Section 2 may be stored on 1Dynamics-operated systems hosted on Microsoft Azure (Australia East region) for the duration of the trial, solely to provision and support trial usage.

After purchasing: once a paid subscription is activated, 1Dynamics does not store this information on its own systems. Business and customer data displayed within the App resides exclusively in your organisation's own ERP/portal environment.

5. Sharing of Information

We do not share customer or business data accessed or stored through the App with third parties, except:

• as necessary to provide technical support at your request;
• where required by law or by a court or regulatory authority of competent jurisdiction; or
• with sub-processors engaged to operate trial infrastructure. Our current sub-processor for trial hosting is Microsoft Azure (cloud infrastructure). We will update this policy if sub-processors change materially.

6. International Data Transfers

Trial data is stored on Microsoft Azure infrastructure located in the Australia East region (New South Wales, Australia). In the event that any sub-processor or support activity requires data to be accessed from outside Australia, we take reasonable steps to ensure overseas recipients handle personal information in a manner consistent with the Australian Privacy Principles (APPs), including through the use of contractual protections.

7. Data Security

We apply reasonable technical and organisational measures to protect information stored during a trial, and to protect the App's access to information in a paid customer's environment. These measures include role-based access controls, encrypted data transmission (TLS), and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Data Retention

Information stored during a free trial is retained only for the duration of the trial period, plus a maximum of 30 days after trial expiry to allow for billing queries and dispute resolution. If you convert to a paid subscription, any trial data held on 1Dynamics systems is deleted promptly upon conversion. If a trial expires without conversion, trial data is deleted within 30 days of trial expiry.

9. Your Rights

1Dynamics Pty Ltd is subject to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). If you are located in Australia, you may have rights to access, correct, or request deletion of personal information we hold about you. We will respond to such requests within 30 days. Please note: the Privacy Act 1988 is subject to ongoing reform following the Privacy and Other Legislation Amendment Act 2024. We will update this policy as new obligations take effect.

10. Cookies and Website Tracking

This policy covers the App only. Our website (www.1dynamics.com.au) does not currently use cookies or analytics/tracking tools. If this changes in the future, this policy will be updated, and a Cookie Notice will be made available on the website describing the technologies used and how you can manage your preferences.

11. Children's Privacy

The App is intended for business use by adult employees of organisations and is not directed at children under the age of 18. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. Material changes will be reflected by updating the "Effective Date" at the top of this policy. We encourage you to review this policy periodically.
